Position: Receptionist/Director of First Impressions

Location: Indianapolis, IN

 

The American Structurepoint Marketing + Communications Group develops the marketing and communications strategies and tactics to promote our services. It is our goal to deliver strategic marketing initiatives in support of American Structurepoint’s mission and market share growth objectives. This group’s number one goal is to make the company look good!

 

An important aspect of making the company look good is establishing a professional first impression with our guests and clients. This starts at the front desk of our Indianapolis corporate headquarters. We are seeking a Receptionist to join our fast-paced and growing team to help our firm establish outstanding first impressions! The Receptionist is responsible for greeting guests and clients, managing the front desk operations, and performing a variety of administrative tasks.

 

The successful candidate should be detail-oriented, self-motivated, and organized with the ability to coordinate simultaneous tasks in a fast-paced office environment.

 

 

 

Responsibilities

  • Welcome guests and connect them with American Structurepoint staff as needed.
  • Manage all telecommunication systems (telephones, voicemails, fax etc.), to route incoming calls quickly, efficiently, and appropriately.
  • Process purchase orders (POs) and various invoices as requested.
  • Assist with completion of various Marketing Services Support (MSS) tasks. These range from finalizing reports (proof, format, and prep), format and update specification books, create IV reports, create comment/response letters, mail merge (labels, certified mail), scanning, transcribing, laminating, print/mount boards, download and name photos from cameras.
  • Uphold basic front-desk safety/security prevention techniques.
  • Communicate general office information (reminders or changes in weather, parking, office recycling, holidays etc.).
  • Manage office mail and courier operations (national carriers, daily sorting, mail supplies, Pitney Bowes, ULINE, etc.).
  • Update lobby monitor with announcements (birthdays, anniversaries, new hires, welcome signs etc.).
  • Submit/track office supply orders through coordination with Office 360.
  • Manage/coordinate rental car requests.
  • Order/update staff name tags, business cards, and company stationery as needed.
  • Distribute weekly/monthly publications to select staff as needed (WSJ, IBJ, ENR etc.).
  • Manage/coordinate event tickets for staff and clients.

Qualifications

  • Bachelor’s degree, but relevant/demonstrated experience will be considered.
  • Punctual, with the commitment and ability to work in-office between the hours of 7am and 5pm. (lunch break/with additional time away from the front desk provided each day).
  • Excellent verbal and written communication skills.
  • Good telephone communication etiquette.
  • Organized, resourceful, and customer focused.
  • Team player with ability to work with a wide variety of personality types.
  • Active listener, fast learner, and eager to help.
  • Adept at prioritizing, scheduling, and multitasking.
  • Ability to manage and operate a variety of office equipment (telephone systems, printers, fax machines, etc.).
  • Proficient in Word, Excel, Adobe, and Outlook.
