    Position: Administrative Support Specialist: Temp to Hire

    Location: Indianapolis, IN


    The American Structurepoint Marketing Communications team develops the marketing and communications strategies and tactics to promote all of American Structurepoint’s services. It is our goal to deliver strategic marketing initiatives in support of American Structurepoint’s mission and market share growth objectives. This group’s number one goal is to make the company look good!

    We are seeking an experienced administrative support specialist to join our fast paced and exciting team! We help set the bar for the industry and the ideal candidate will also set the bar high by being motivated, organized, outside-the-box thinker, and have excellent oral and written communication skills. This role will start out tempoary, with the intent to hire the right mutual fit on full-time.



    • Coordinate the over 200 administrative requests that come in each month. These requests range from proofreading, formatting, copying, binding, scanning, data entry, mass mailings, preparing specification books, transcribing, compiling reports and photo pages, etc.
    • Provide phone backup to the director of first impressions to quickly, efficiently, and appropriately route incoming calls (over 600 incoming calls a month).
    • Cover for the Director of First Impressions when she is out of the office, which includes sorting mail, scheduling couriers and UPS shipments, opening and closing the office, and other administrative duties.
    • Provide general office support by delivering incoming mail, ordering binding supplies, stocking conference rooms, creating POs and processing invoices, and monitoring and coordinating equipment requests (projectors, easels, cameras, shovels, recorders, etc.).
    • Provide assistance, as needed, to the marketing communications team on special projects.
    • Other duties as assigned.



    • Good knowledge of grammar, composition, spelling, punctuation skills, and business writing skills for proofreading.
    • Proficient in Word, Excel, Adobe, and Outlook.
    • Ability to work in fast-paced environment and manage multiple requests and priorities simultaneously.
    • Strong work ethic and desire to produce results.
    • Works well with all types of people and under deadline situations.
    • Ability to build strong working relationships at all levels, internal and external to the firm.
    • Work from 8 am to 5 pm, with the ability to work overtime as needed.
    • Excellent customer service telephone skills.
    • Strong knowledge of general office procedures and office equipment.
    • Attention to detail required.
    • Must have excellent communication skills, both written and oral. Responsible for accuracy and clarity of final information.
    • Strong ability to multi-task to sustain a number of projects at once.
    • Must be a team player with the ability to successfully work with and satisfy business partners with an array of personality types in multiple disciplines.
    • Build excellent working relationships to attain goals.
    • Self-motivated, confident, energetic, and creative.
    • Excellent organization/self-discipline skills to manage multiple changing deadlines and ensure others can find all documents when needed.
    • A warm and outgoing personality.
    • A stable work history.
    • Architecture and/or Engineering experience preferred but not required.
